Application

German application documents: the right order for PDFs, email and application portals

A clear order helps recruiters review your application quickly. The documents you need depend on the job advertisement and how you submit them.

For digital applications in Germany, one logically structured PDF is often the clearest solution. If an application portal provides separate upload fields, follow that structure exactly.

As a rule, relevance matters more than volume. Submit the requested documents and select the certificates that best support your suitability for the role.

Recommended order

PositionDocumentNote
1Cover letterSeparate or first page if requested
2Cover sheetOptional; often omit for ATS applications
3CVClearly structured and tailored to the role
4Employment referencesNewest and most relevant first
5Education certificatesHighest relevant qualification first
6CertificatesOnly current, role-relevant evidence

If the job ad requests a different order or separate uploads, those instructions take priority.

One PDF or several files?

For an email application, one combined PDF is often easier to open and forward. Depending on the employer's preference, the cover letter can be part of that PDF or a separate file.

In an application portal, upload documents separately when dedicated fields are provided. Use clear filenames such as 'CV_Maria_Muster.pdf', not 'document_final2.pdf'.

Which supporting documents should you include?

  • The last one to three relevant employment references
  • Proof of your highest or most role-relevant qualification
  • Requested language, software or professional certificates
  • For regulated professions: recognition or current recognition status
  • Work samples only when requested or clearly relevant

Quality check before submitting

  • Every page is legible, correctly rotated and in a logical order.
  • CV and cover letter name the same role and company.
  • Contact details, dates and filenames are current and consistent.
  • The PDF contains real selectable text rather than only scanned images.
  • The file size meets the portal's requirements.
  • No internal comments or tracked changes remain.

Cover sheets are optional

A cover sheet can structure a traditional application folder, but often adds little value digitally. If fast ATS readability matters, start directly with the cover letter or CV.

Common ordering mistakes

  • Placing certificates before the CV
  • Attaching every document since school without filtering
  • Sending several files with unclear names
  • Adding a portfolio or work samples without context
  • Ignoring the instructions in the job ad or portal

How should I order certificates?

Order employment references and qualifications in reverse chronological order, with the newest relevant document first.

Is a cover sheet required?

No. It is optional and can be omitted for digital or ATS-screened applications.

How many supporting documents should I send?

Only the requested and relevant ones. Quality and relevance matter more than quantity.
